PatrolSync — Privacy Policy
Effective date: 1 October 2026 Last updated: 1 October 2026
1. Who we are
PatrolSync is operated by PatrolSync LLC, a California limited liability company. Contact: nrod@patrolsync.pro.
This policy explains what we collect, why, who else sees it, how long we keep it, and what you can do about it.
2. What we collect
Account information
- Email address
- Username, full name
- Department or agency, rank, status (recruit / officer / certified)
- Profile picture, if you add one
- Account role and subscription tier
Where you are training
If you set them: state, county, department, agency type, academy, and your study goal.
Billing information
- Your Stripe customer and subscription identifiers, the plan you are on, when the current period ends, and whether you have canceled.
- We never receive or store your card number. Payment details go directly to Stripe.
Agreement and transaction records
When you subscribe, we record the fact and terms of your agreement: the plan and price you selected, the automatic-renewal disclosure you were shown in the exact words you saw it, the versions of the Terms of Service and this Privacy Policy you accepted, the date and time you accepted them, your checkout session and subscription identifiers, and the browser you used.
We are required by California law to keep these records, and we keep them even after an account is deleted. See "How long we keep it" below.
Devices and sign-ins
For each device you sign in from: a device identifier, device name, browser, operating system, first seen and last active times, sign-in count, and whether the account has been flagged for possible sharing.
We collect this to enforce the two-device limit described in the Terms and to detect account sharing. It is also what powers the security screen in Settings.
These are records of sign-ins. They are not recordings of anything you do.
What you do in the app
- Mock exam sessions and answers
- Learning Domain quiz attempts
- Flashcard progress, including whether answers were right or wrong, kept separately for graded answers and self-reported ones
- Scenario simulations
- Report-writing submissions and the critiques generated for them
- PELLETB practice sessions and attempts
- Oral board attempts
- Fitness assessments
- Custom flashcards you create
- Usage events within the app
What you write
- Comments on bodycam videos, and reactions or reports on other people's comments
- Challenges you file against questions or flashcards, including your notes
- Messages you send us through the contact form: your name, email, subject and message
- Moderation records, if a moderator acts on something you posted
Technical information
Ordinary information created by using a website: your IP address, the date and time of requests, error and diagnostic logs, and the delivery status of emails we send you.
We store data in your browser's local storage — including your sign-in token and an analytics session identifier — so that you stay signed in and the app works between visits. You can clear this through your browser at any time, which will sign you out.
Analytics
We collect event-level analytics: that the app started, periodic signals that a session is still active, and how long a session lasted, along with usage events tied to features you use. This tells us which parts of the app get used and roughly how long people spend in them.
We also record a small number of specific actions you take in the app: when you complete a training activity and which one it was, when a free-plan limit stops you and which feature it was, and when you begin the checkout process. We use these to see which features people finish, where the free plan gets in the way, and how many people start a subscription. These records are tied to your account.
Session recording
We record your sessions in the app, and you should know that before you use it.
Our platform provider, Base44, loads a session-recording library into PatrolSync. It captures the pages you visit, your mouse movement, clicks and scrolling, the contents of the pages as they are displayed to you, and what you type into most of the app's own fields, and it lets us replay that session afterwards. Recordings are stored by Base44 on our behalf.
What you type is masked. Text you type into PatrolSync's own fields — including the Report Trainer — is recorded as asterisks, not as the characters you actually typed. Passwords and email addresses are masked as well. We tested this against the live recorder rather than taking it on trust.
What is displayed on the page is captured. This is the part worth understanding. The masking applies to your keystrokes, not to what the app shows you. Once something you wrote has been saved and is displayed back on screen — a practice report shown next to its critique, a comment appearing in a list — that text is part of the page, and the recording captures the page.
So treat anything that appears on screen in PatrolSync as recorded. This is one more reason never to enter real case information, real police reports, or information about real people, as section 12 of the Terms of Service explains.
Your card number is never recorded, because payment happens on Stripe's own pages rather than ours.
Why we do it. It is how we find bugs that nobody reports, see where the app is confusing, and work out what actually happened when something breaks.
What it is not. It does not use your camera or microphone, and it does not follow you outside PatrolSync. We do not use it to monitor individuals or to check up on how much anyone is studying.
If you would rather not be recorded, email us at nrod@patrolsync.pro.
We do not follow you around the internet.
3. Why we use it
- To run the service and give you your training content and progress
- To take payment and manage your subscription
- To keep the records of your subscription agreement that the law requires
- To enforce the two-device limit and detect account sharing
- To answer your support messages and your content challenges
- To find and fix problems, and to improve the product
- To detect abuse and enforce our Terms
- To comply with the law
We do not send marketing email. If that ever changes, we will say so here first and ask for your agreement.
4. We do not sell or share your personal information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do not allow anyone to use PatrolSync to build advertising profiles about you.
5. Who else handles your data
These providers process data so the service can work:
| Provider | What they do | What they can see |
|---|---|---|
| Base44 | Hosting, database, sign-in, AI routing, analytics, session recording, outbound email | Effectively all of it |
| Stripe | Payments and subscriptions | Your billing details and card data, which we never see |
| YouTube (Google) | Hosts the bodycam videos and the player embedded in our pages | That your browser requested a video from them, and whatever they ordinarily collect when you watch a video on their player |
| Google Fonts | Serves the fonts the app displays in | That your browser requested a font |
We may also disclose information if we are legally required to, or to protect our rights or someone's safety.
About the AI features
Several PatrolSync features send text to an AI model — most importantly the Report Trainer, which sends what you write so it can be analyzed and critiqued.
We want to be straight with you about the limits of what we know here. AI requests are routed by our platform provider, Base44. One PatrolSync feature specifies a Google Gemini model directly. The rest ask Base44 for a model without naming one, which means Base44 selects the provider and the model. We have not independently confirmed the full list of AI providers, how long each one keeps what it receives, or whether any of them use submissions to improve their own models.
We do not intentionally provide your submissions to anyone for the purpose of training general-purpose AI models. We cannot make promises about our providers' internal practices that we have not verified.
Because of that, do not put real case information into any PatrolSync feature. The Terms of Service set out in full what must never be entered — real police reports, CJIS or CLETS data, criminal history, information about real victims, witnesses or suspects, and so on. Use fictional or fully de-identified facts. This is the single most important thing in this policy.
About the embedded video player
Bodycam videos play through a YouTube player embedded in our pages, and video thumbnails load from Google's servers. When that player loads, Google receives your IP address and may set cookies and collect information about your viewing, including across other sites and services, under Google's privacy policy rather than ours. We do not control that and we do not receive it.
If you would rather Google not receive this, you can avoid the bodycam section, or block third-party cookies in your browser.
6. Do Not Track, and tracking across sites
Do Not Track. There is no universally accepted standard for how online services should respond to browser "Do Not Track" signals. PatrolSync does not currently respond to them.
Third parties collecting across sites. We do not permit third parties to collect information through PatrolSync for advertising. The one exception you should know about is the embedded YouTube player described above, which may allow Google to collect viewing information across its own services.
7. Reviewing and correcting your information
You can review and change your name, username, agency, rank, status and study preferences yourself in Settings. You can export your data and delete your account from Settings as well.
If something you cannot edit yourself is wrong, email nrod@patrolsync.pro and we will correct it.
8. How long we keep it
| Information | How long |
|---|---|
| Account and training data | While your account is active, then deleted on account closure, subject to the exceptions below |
| Subscription consent and renewal records | At least three years, or one year after the subscription ends, whichever is longer — required by California law |
| Billing and refund records | As long as needed for accounting, tax, dispute and fraud-prevention purposes |
| Support correspondence | Up to 24 months after your account closes |
| Moderation records | Up to 36 months after your account closes, or longer if needed for an ongoing safety, fraud or legal matter |
| Device and sign-in records | While your account is active |
| Security and error logs | A short operational period, then overwritten |
| Backups | Until overwritten on our provider's ordinary backup cycle |
If you do not sign in for 12 months, we may delete your account and the data in it. We will email the address on the account before we do, so you have a chance to sign in and keep it.
9. Deleting your account
You can delete your account from Settings. It is permanent. When you do:
-
Your subscription is canceled immediately with Stripe.
-
We delete the account information and content under our control: your account record, device and sign-in records, exam sessions, quiz attempts, scenario simulations, report submissions, PELLETB and oral board attempts, fitness assessments, custom flashcards, flashcard progress, your agency preferences, usage events, your bodycam comments, and the content challenges you filed.
-
We keep a pseudonymized record of your training activity, so that product-level statistics survive. Each record holds the kind of activity, the date, the subject category, how many questions there were and how many you got right, the outcome, whether the account was on a paid plan, and how long the account had existed. Your name, email and account identifier are replaced with a one-way hash that we do not reverse.
We would rather be precise than reassuring here. Those are individual records rather than totals, and a one-way hash is pseudonymization, not true anonymization. We do not try to work out who a record belongs to, and we do not combine these records with anything that would make that easier. But while PatrolSync has a small number of users, we are not going to claim that nobody could ever connect such a record back to a person.
What deletion does not reach
We want this to be accurate rather than reassuring, so:
- Subscription consent and renewal records are kept, because California law requires us to keep proof of what you agreed to. Deleting your account does not delete them.
- Support correspondence is kept for up to 24 months after closure. Billing disputes and card chargebacks surface weeks or months later, and without the thread we cannot show what was actually said or agreed.
- Moderation records are kept. Deleting them on request would let anyone clear their history by closing an account and opening a new one, which would make moderation meaningless. The record contains the fact of the action, not the content.
- Billing records held by Stripe follow Stripe's own retention, not ours.
- Backups may contain your information until they are overwritten on the ordinary backup cycle.
- We may keep information where we reasonably need it to resolve a dispute, prevent fraud, establish the terms of a transaction, or comply with the law.
Our service providers may retain information according to their own schedules.
10. Getting a copy of your data
You can export your data from Settings. The export includes your exam sessions, quiz attempts, scenario simulations, report submissions, PELLETB and oral board attempts, fitness assessments, custom flashcards, flashcard progress, agency preferences, device records, usage events, bodycam comments and content challenges.
The export carries your own records and your own writing. It does not include PatrolSync's question text, answer options, explanations or passages, which are licensed study content rather than your personal data.
11. Security
Access is protected by sign-in, the two-device limit, and server-side rules that restrict what any account can read or write. Payment data never touches our systems.
No service is perfectly secure, and we cannot guarantee absolute security.
If a data breach affects your information, we will notify you and the appropriate authorities as required by applicable law.
12. Children
PatrolSync is for adults 18 and over. We do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it.
13. Changes to this policy
We may update this policy. The "Last updated" date at the top always reflects the current version.
If a change materially affects you, we will give notice in the app or by email before it takes effect, and where the change affects the terms of your subscription we will ask you to accept it.
14. Contact
We operate entirely online, so email is how you reach us — including for any privacy question or request.
